A General Planning Guide for Events

Six months in advance Set the date for your event or program
Four months in advance Confirm all event details
Three months in advance Make sure all public relations strategies (press releases, posters, etc.) have been determined
Two months in advance

– Begin to promote the date of the event at least twice/month at meetings, through sermons, etc.
– Submit information about the event to local businesses to publish in their newsletters

Two weeks in advance (or as local newspaper deadline requires) Send out press release to local newspapers and radio outlets
12 days in advance Send out a letter of invitation
5 days in advance Personal phone calls inviting people and reminding them of the event
